Job Purpose: The Marketing Specialist will be responsible for working with the Director of Marketing and Sales in supporting the Marketing and Sales Team. Their main responsibilities will include providing analysis for data, market trends, and providing administrative support to the Director.

Executive Assistant - Salaried, Exempt

Job Purpose: The Executive Assistant will provide a high-level administrative support for PCS leaders to ensure they can efficiently accomplish tasks and initiatives set forth. The Executive Assistant is responsible for managing the schedule and communication for the Executive Team. Their main responsibilities include scheduling of Training Center at Home Office, managing the training schedule for enrollment & cancellations, preparing documents and other materials required for meetings/trainings, coordinating and providing responses to Team Members, Residents/Families, and communities when instructed.

Accounting Specialist

The Accounting Specialist is responsible for supporting various Accounting functions, to include but not limited to; Accounts Payable (AP), Resident Billing, General Ledger (GL), Bank and Credit Card account reconciliation, assisting with monthly book closing, and general office maintenance.

The following are essential functions of the job:

  • Reviews GL coding on records such as invoices, expense reports, check requests, and etc., to ensure accuracy with standard procedures, minimize errors, and to ensure proper entry into the accounting system. Attaches all corresponding and/or supporting documentation to invoices. Files, maintains, and distributes accounting documents, records and reports.
  • Prepares periodic batch check runs, ePayable, and credit card payments. Schedules and records periodic automatic/online payments.
  • Collect and maintain vendor information per standard procedures for periodic payment processing, and annual 1099 reporting. Process year-end 1099 forms and filing for Controller review. Maintains current records of vendor Certificate of Insurance.
  • Reconciles vendor account statements to ensure timely and accurate payments. Handles all vendor correspondence via phone or email. Investigates and resolves problems associated with processing of invoices and payments.
  • Assists with internal management of The Plaza's Credit Card Program, includes expense reporting and data imports into the accounting software system. Reviews and process expense reports for credit card transactions; reconcile credit card account statements.
  • Maintain ePayable vendor database, and routinely onboard new vendors.
  • Review and complete daily census reporting
  • Assist with review of documents related to census changes, update internal records as needed, and process resident billing.
  • Receives, researches and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons. (Example: completing credit application request, updating authorized users, issuing stop payments, replacement checks)
  • Prepares and reports monthly General Excise Tax (GET) and process tax payments.
  • Prepares and post monthly Automatic Clearing House (ACH) payment listing, and monthly recurring billing entries.
  • Maintains prepaid expense and monthly accrual schedules; and posts monthly recurring journal entries, expense accrual journal entries, prepaid expense journal entries, and payroll journal entries.
  • Reviews and reconciles bank and credit card accounts. Record credit card income/rebates.
  • Assists with monthly status reports, and monthly closings. Reconciles various accounts by identifying errors in posting or omissions by applying appropriate accounting standards.
  • Primarily responsible for administrative support to Home Office (e.g. order office supplies, answer phones, receive deliveries, pick up mail, and etc.)
  • Communicates and provides accounting support to community Business Office Managers and Administrators to ensure accurate billing and payments of vendor transactions.
  • Works collaboratively with other departments, attends community meetings, trainings and in-services as assigned.
  • Adheres to all employment requirements established in the Team Member Handbook, the Operating Policies and the Procedural Manuals.
  • Performs other duties to support Accounting Dept as assigned by Controller.

Required:

  • 2-3 years general accounting and clerical work experience.

Job Purpose: The Nurse Supervisor is responsible for assisting the Director of Nursing/Assistant Director of Nursing in overseeing the daily operations within the nursing department, supervision, training and support in nurse delegation duties, and assist in ensuring optimal care and services for the Residents.

  • Promotes and restores Residents' well-being by overseeing the nurse delegation program and the day-to-day nursing assessments that occur.

  • Notifies the Director of Nursing and Administrator, physician and family when significant changes in condition occur and takes appropriate action as directed.
  • Assists in emergency situations involving the residents.
  • Responsible for Incident Report writing, in a timely manner and followed-up with an appropriate investigation.
  • Ensures medications are ordered and received from pharmacy in a timely manner and handled in accordance with company policy.
  • Ensures appropriate contact with physicians occurs regarding written and verbal orders (this includes properly transcribing physicians' orders with accuracy and assuring follow-up as indicated) in accordance with regulations, standard nursing practice and established community policies and procedures.
  • Functions as a floor nurse, as needed, including the passing of any PRN medication.
  • Makes daily rounds to determine unit effectiveness and identifies needs and concerns.
  • Identifies and communicates trends on the care floor, assists the Director of Nursing and Administrator with a plan of action to follow through.
  • Makes recommendations regarding policies and procedures to maintain the care program in compliance with state and federal laws and regulations, while offering the best possible care to residents.
  • Responsible for ensuring care department sustains compliance with state and federal laws and community policies and procedures.
  • Completes forms and reports as requested by Director of Nursing or Administrator.
  • Collaborates efficiently with state inspectors regarding surveys and care complaints.
  • Assures residents service department, supplies, equipment and work areas are clean, neat and orderly and submits requests for supplies within departmental budgets.
  • Maintains good rapport with residents, families, visitors, and community members and resolves resident, family and community concerns promptly.
  • Performs other duties as directed by the Director of Nursing or/and the Administrator.

Supervisory

  • Oversees daily nurse delegation program for all floors responsible for.
  • Schedules nursing and resident care staff to ensure appropriate resident/staff ratio.
  • Enforces the attendance policies if needed, and replaces team members as needed.
  • Supervises care staff in the absence of the Director of Nursing and provides feedback concerning their performance on an ongoing basis.
  • Assures documentation of resident records by care staff is complete and accurate by conducting frequent audits.
  • Communicates regularly with care staff to provide information and address concerns.
  • Assists with providing new hire and ongoing training to resident care staff/care department and instructs personnel on use of equipment.

Medication Aide Full time (WAI) Full time - all shifts

The Medication Aide is responsible for providing medication administration following State of Hawaii, Hawaii Revised Statutes Chapter 457 - Nursing under the supervision of the Licensed Nurse on duty. Medication administration will be administered to those that it is specified on their individual Resident Service Plans. Previous skills requested but not required.

Requirements of the position:

  • Completion of The Plaza's Medication Training Certification Course, includes maintaining current status of Medication Training Certification, skills training.
  • Current Tuberculosis clearance, according to the State of Hawaii Department of Health regulations.
  • CPR and First Aid Certified.
  • CNA certification and/or currently in certified nursing program, or certification through a professional medication training program.
